Getting your deposit back
The deposit is held separately from rent, and no amount is deducted without a person proposing it and you seeing it.
The deposit is held, not earned
A security deposit is tracked as a liability in its own account. It is kept separate from rent and is never netted into income while it is held.
That separation is what makes it possible to say what is owed back to you at the end.
How a settlement is proposed
- 1Your landlord or manager opens a deposit resolution. It records the deposit held and links the move-out inspection if one exists.
- 2Deductions are added one at a time, each with a label, an amount, a reason, and where relevant the inspection item behind it.
- 3The statement is sent to you for review, and you are notified.
- 4You agree or dispute it.
- 5The settlement is recorded and posted: the deposit liability is drawn down, the refund goes out, and anything kept is recognised.
The arithmetic
Deductions are covered by the deposit first, and never exceed what is held. Whatever is left is refunded to you.
Where the proposed deductions come to more than the deposit, the shortfall is recorded as owed by you rather than silently absorbed.
A person decides, never a classification
An inspection rating suggests that something may warrant a deduction. It does not create one. Every deduction is proposed by a person, with a reason, and put to you before settlement.
AI cannot deduct a deposit. Deposit deductions are never made on an AI classification alone.
If you dispute the statement
Disputing sends the resolution back so the deductions can be edited and re-proposed, and your response is recorded on the record.
A dispute does not block settlement. A manager can still settle a disputed resolution, so if you disagree, say so through the complaints process as well and keep your own evidence from the move-in and move-out inspections.
